This Privacy Policy explains how Centscribe collects, uses, shares, retains, and protects information when you use the Centscribe app, website, and related services.
1. Scope of This Policy
This policy applies to Centscribe's mobile app, website, contact forms, linked-account features, optional AI tools, notifications, support workflows, and related services that link to or reference this Privacy Policy.
If you use a third-party service through Centscribe, such as Apple, Google, Plaid, OpenAI, RevenueCat, or Google Places, their own terms and privacy policies also apply to the information they receive or control.
2. Information We Collect
- Account and profile details such as your name, email address, authentication information, and sign-in data if you choose Apple sign-in, Google sign-in, email and password, or another supported authentication method.
- Financial and household data you enter directly, including transactions, budgets, bills, goals, notes, receipts, linked-account labels, tags, reminders, and property or address information. Centscribe uses this information to provide budgeting, review, net-worth, reminder, export, receipt, and household features you choose to use.
- Connected financial account and institution data you authorize through integrations like Plaid. Centscribe uses this information to provide sync, account management, net-worth, and transaction-review features. Centscribe does not receive your raw bank login credentials from Plaid Link.
- Transaction categorization details such as category selections, review actions, correction history, explicit rules, learned preferences, and consent choices for personalization or broader model improvement.
- Subscription and entitlement information related to in-app purchases and premium access. Payments are processed by Apple, and Centscribe does not store full payment card numbers.
- Support, legal, and communication records such as messages you send through contact forms, privacy requests, deletion requests, and related support follow-up.
- Device, app version, notification preference and push-token data, log, crash, and diagnostic information needed to operate, secure, and improve the service.
3. Information From Third Parties and Connected Services
Centscribe may receive information from third parties only when you choose to connect or use those services with Centscribe. Examples include:
- Apple and Google sign-in providers, which may share basic account identity information needed to authenticate you.
- Plaid, which may share connected financial account, institution, balance, account, and transaction data you authorize for sync.
- Apple and RevenueCat, which may share purchase, subscription, restore, or entitlement status needed to manage premium access.
- Google Places, which may return address-autocomplete and address-detail information when you use address lookup features.
- SendGrid or similar email-delivery providers, which may deliver household invites, optional marketing emails, and account or summary emails you choose to receive.
4. How We Use Information
- Create and manage accounts, sign-ins, subscriptions, linked-account features, and household data.
- Provide budgeting, cash-flow, net-worth, goal tracking, reminders, receipt capture, subscription tracking, and transaction-review features.
- Generate summaries, insights, and optional AI-assisted or machine-assisted categorization and guidance features when you choose to use them.
- Operate transaction categorization features using rules, machine learning, AI, review history, and user settings.
- Personalize future categorization suggestions in your account if you enable learning from your corrections.
- Improve categorization quality more broadly using de-identified or aggregated training signals if you opt in to that separate setting.
- With your permission, send launch updates, product news, premium feature tips, and occasional promotional offers.
- Respond to support, privacy, access, correction, deletion, export, and appeal requests.
- Maintain account security, prevent fraud or misuse, troubleshoot issues, and improve product reliability.
- Communicate important service, legal, billing, support, security, or compliance-related updates.
4A. Why Centscribe Collects Sensitive Fields
Centscribe tries to collect sensitive information only when it directly supports a feature you choose to use or a security, support, billing, legal, or recovery obligation tied to your account.
- Email address and account identity data are used for sign-in, account recovery, security notices, and support.
- Transaction details such as amount, merchant, date, and category are used for budgeting, review, rules, summaries, exports, and linked-account reconciliation.
- Receipt files and receipt metadata are used so you can attach, view, export, and, where available, recover transaction evidence.
- Linked-account and institution metadata are used only for the sync, balance, net-worth, and transaction-review features you authorize.
- Address and property data are used only for the property records, address autocomplete, and home-value features you choose to use.
- Device-session, trusted-device, and diagnostic records are used for app security, suspicious-session response, notifications, and incident monitoring.
5. Automated Categorization, AI, and Learning
Centscribe offers optional rules, machine learning, and AI-assisted workflows to help categorize transactions, summarize activity, and provide guided financial organization features. These systems may use transaction context, account context, your prior review actions, and your preferences to generate suggestions or automation.
When you choose to use Centscribe AI features, relevant prompts, transaction context, or account context may be processed by OpenAI to deliver categorization, summaries, and guided budgeting or organization assistance. You can avoid this processing by not using AI features, disconnecting linked accounts, or deleting related data. These features are informational and do not replace professional financial, tax, legal, accounting, or investment advice.
When you use Ask Centscribe, Centscribe may also store feature-consent records such as the name you enter, the acknowledgement shown at acceptance, the versions and URLs of related legal documents, acceptance timestamps, and app or device metadata needed to document consent, protect the service, and respond to legal or compliance issues.
Centscribe may also use rules, machine learning models, and transaction-review logic to suggest or apply categories. If you enable learning from corrections, repeated confirmed changes may influence future suggestions in your account. If you separately opt in, Centscribe may use de-identified or aggregated transaction patterns and confirmed labels to improve future categorization models for all users.
6. Marketing, Notifications, and Service Communications
Centscribe separates optional marketing communications from service-related communications. If you opt in, Centscribe may send launch updates, product news, premium feature education, or occasional promotional offers.
Service, billing, security, legal, support, deletion, and privacy-request communications may still be sent as needed to operate your account and comply with the law. Push notifications may also be used for reminders, account-related events, subscription or bill reminders, and other app features you enable.
You can unsubscribe from optional marketing emails at any time using the unsubscribe link in the message or by changing your email preferences inside the app.
7. How Information Is Shared
Centscribe does not sell your personal information. Information may be shared only as needed with service providers and infrastructure partners that help operate the service, such as Google Cloud and Firebase for hosting, authentication, storage, and server functions; Plaid for linked financial accounts; OpenAI for optional AI features; RevenueCat and Apple for subscriptions and in-app purchases; Google Places for address autocomplete; SendGrid for invitation and email-delivery workflows; and Expo for push notifications.
We may also disclose information when required by law, to respond to valid legal process, to protect the service and its users, to investigate fraud or misuse, or in connection with a business transfer such as a merger, sale, financing, or acquisition.
8. Cookies, Similar Technologies, and Diagnostics
Centscribe's website and app may receive standard technical information such as IP address, browser or device details, service logs, crash reports, local app settings, and diagnostic data needed for security, troubleshooting, and performance. Centscribe does not currently run a broad third-party targeted advertising program on the public website.
The website and app may use essential local storage, cookies, or similar technical tools needed for core functionality, login state, or user preferences. If Centscribe later adds non-essential tracking or marketing cookies, this policy and any required consent experience will be updated accordingly.
9. International Transfers
Centscribe and its service providers may process information in the United States and other countries. When applicable law requires additional safeguards for cross-border transfers, we rely on contractual or comparable protections appropriate to the service relationship.
If applicable law gives you the right to request more information about transfer safeguards, you may contact Centscribe using the methods listed at the end of this policy.
10. Data Retention
Centscribe generally keeps account and financial information while your account remains active and as needed to provide the service.
This means account, budgeting, net-worth, linked-account, receipt, and household records are generally kept while they are still part of your active Centscribe account or until you delete them, disconnect them, or request a broader deletion or reset workflow.
Receipt files generally remain stored while they are still associated with your active Centscribe data. If you delete a receipt in the app, Centscribe may be able to recover the deleted receipt file for up to 7 days. After that recovery window, the deleted receipt file may no longer be recoverable.
If you request a full account deletion or Centscribe data reset, we may keep a limited recovery backup for up to 30 days so the deletion or reset can be reversed if needed during that recovery window. After that period, those recovery backups are deleted in the normal course.
Some information may be retained longer where reasonably necessary for security, fraud prevention, dispute resolution, tax or accounting obligations, legal compliance, backup integrity, or enforcement of our terms.
Operational backups and recovery systems may temporarily retain copies of information for limited periods even after a user-visible deletion request, but Centscribe does not keep those backup copies forever by default.
Centscribe currently uses named operational retention windows for key recovery surfaces, including up to 7 days for deleted receipt-file recovery, up to 30 days for reversible destructive-reset backups, daily Firestore backups retained for 4 weeks, and weekly Firestore backups retained for 12 weeks.
11. Data Security
Centscribe uses administrative, technical, and organizational safeguards intended to protect your data. No system can guarantee absolute security, but we work to reduce risk, limit access appropriately, and respond to security issues when they arise.
12. Children's Privacy
Centscribe is intended for adults and is not designed for children under 18. We do not knowingly collect personal information from children under 18, and if we learn that we have done so, we will take reasonable steps to delete it.
If you believe a child under 18 has provided personal information to Centscribe, contact us and we will investigate and take appropriate action.
13. Your Choices and Privacy Rights
- You may disconnect linked accounts, delete items, or update many settings directly in the app.
- You can disable optional notifications and certain personalization or privacy settings from the Settings area.
- You can opt into or out of launch updates, product news, and premium offers from the website forms or from Centscribe email settings in the app.
- You can control whether Centscribe auto-categorizes high-confidence transactions, learns from your corrections, or uses de-identified labels to improve categorization more broadly.
- You can request access, correction, deletion, export, or appeal review through the contact page or by emailing privacy@centscribe.com.
- You can request account deletion or erase your Centscribe data from Profile Data in the app.
- If you delete a receipt file in the app and need it restored, contact Centscribe as soon as possible. Deleted receipt files may remain recoverable for up to 7 days, after which recovery may no longer be possible.
- To protect your account and your data, Centscribe may verify your identity before completing a privacy request.
Depending on where you live, applicable law may give you rights to access, correct, delete, export, or object to certain uses of your personal information, or to appeal a denied request. Centscribe will review and respond to requests in accordance with applicable law.
If Centscribe denies a privacy request, you may ask for an appeal review by replying to the decision or contacting Centscribe at privacy@centscribe.com.
14. United States Privacy Rights
If you live in a United States state with consumer privacy rights, you may have rights to know what categories of information Centscribe collects, access your information, correct inaccuracies, request deletion, obtain a copy of certain information, appeal a denied request, or opt out of certain processing where applicable law gives you that choice.
Centscribe does not sell personal information and does not currently run a broad third-party targeted advertising program on the public website. If that changes, this policy and any required opt-out or consent tools will be updated.
15. Changes to This Policy
Centscribe may update this Privacy Policy from time to time. If we make material changes, we may update the date above, revise this page, and where appropriate provide additional notice inside the app, by email, or through the website.
